How Workflow Automation and AI Transform Back-Office Energy Trading Operations

Leading the Shift from Manual to Smart Automation

Recognizing this bottleneck, I implemented a custom, end-to-end workflow automation solution that uses Azure Document Intelligence's Custom OCR (Optical Character Recognition) module to extract key information directly from PDF documents. The solution then converts this data into payable invoices within ETRM RightAngle, eliminating the need for manual intervention. The result is faster processing, greater accuracy, and smarter automated workflows, transforming a previously cumbersome process into a scalable, adaptable workflow. This software also supports enhanced decision-making through improved data accuracy.

While this solution was designed to streamline back-office operations, the underlying approach can be applied more broadly. It has the potential to help scheduling or actualization teams, as well as other business groups, reduce manual effort and enhance data accuracy wherever PDF documents are manually processed. Static Documents, Manual Entry, & Lost Time Challenges

Back-office operations typically rely on PDF documents, such as vendor invoices for Marine inspection fees, to process payments and reconcile transactions. These documents are often static, non-digital files that aren’t designed for direct integration with enterprise software systems.

As a result, back-office teams manually extract key details from each PDF, including vendor name, invoice number, amount, service dates, and our reference number, and enter them into RightAngle or another platform by hand, matching the transactions. It’s a painstaking, time-intensive process that not only drains resources but also introduces numerous inefficiencies. This manual approach also limits productivity and the effectiveness of marketing automation efforts that rely on accurate data.

This manual approach comes with a range of operational drawbacks:

  • Time-intensive: An operator may require 10–15 minutes to process a single invoice manually. Multiply this by the large volumes of documents received each day, and the effort quickly adds up.
  • Prone to human error: Typing mistakes, omissions, or misinterpretations can compromise financial controls and reconciliation, leading to disputes, past-due payments, and compliance issues.
  • Difficult to scale: As volumes grow, adding more resources to match the workload is neither cost-effective nor workable in the long term. This impacts overall productivity.
  • Non-compliant for audits: Manual processes often lack a clear, systematic record of how transactions were processed, making audits more challenging and cumbersome.

With growing transaction volumes and a need for greater speed, accuracy, and oversight, it was clear that a more sophisticated and scalable approach was needed. This highlighted the need for workflow automation and optimization.

The Azure Custom OCR Intelligence Solution & Workflow Automation

To address these bottlenecks, I implemented a custom, end-to-end automation AI software solution designed expressly for back-office operations. The solution uses Power Automate Flow, Custom-Trained OCR (Optical Character Recognition) Azure Document Intelligence modules, and RightAngle technology to intelligently extract key information directly from PDF documents, eliminating manual data entry and reducing human intervention.

This approach transforms a previously cumbersome process into a scalable and adaptable end-to-end automated workflow:

  • Power Automate Flow: The process starts by automatically downloading PDF invoices directly from a designated mailbox (such as Outlook or a shared inbox) using Power Automate. This automates a key step. This means back-office teams no longer need to check their email manually, save files, or forward documents; the workflow handles it all in real time, with instant notifications for critical events.
  • Custom-Trained OCR Intelligence Model: Once downloaded, the PDF is routed to an Azure Document Intelligence custom-trained OCR module, which recognizes and extracts key fields, including vendor name, invoice number, amount due, service dates, and internal reference number, regardless of the PDF's format or layout, into a JSON file. This improves data optimization. This makes it highly accurate and reliable, even when documents come from different vendors with varying templates.
  • Validation Layer: Once the data is extracted, a validation layer checks it against predefined criteria (such as required fields for payable transactions or matching expense transactions). This guarantees the accuracy and completeness of the information before proceeding to the next step, improving decision-making.
  • Integration with RightAngle (CRM/ERP): Using custom integration routines, the extracted and validated data is routed directly into RightAngle’s payable invoice modules. The solution then matches these payables against transactions and feeds them forward to SAP for payments, allowing back-office teams to avoid manual keying and focus their efforts on addressing exceptions or anomalies. This strengthens the overall CRM capabilities.
  • Exception Handling: If a PDF is unreadable or a key field fails validation, the system flags it for manual review, ensuring oversight without interrupting the flow of other transactions. This sends relevant notifications to the appropriate teams.
  • Custom Report: A custom report within RightAngle lets the accounting team track created, matched, and erroneous payable invoices. This provides visibility into the automated workflow progress and makes reconciliation more efficient, improving data for marketing automation.
